General Terms and Conditions for Weekly Seminar in Reggio Emilia 2026, Italy May 18–22, 2026 (excluding travel days)

The event is being organized in collaboration with Reggio Children, the international outreach organization of the city of Reggio Emilia.

The course fee includes:

  1. Conference program for the entire week with lectures and study visits
  2. Hotel (shared double room) Single room supplement.
  3. Breakfast
  4. A dinner
  5. Lunch Monday–Friday at the Loris Malaguzzi Center
  6. Interpreter for lectures and study visits
  7. Joint thank-you gift

VAT

Due to new EU directives, we have been informed by the Italian Tax Agency that all foreign-based companies are treated as domestic Italian companies from a tax perspective, which is why we have had to register for VAT in Italy and Italian VAT (22%) will be charged on our services performed and sold there. Companies established within the EU may, under certain conditions, apply for a VAT refund in accordance with EU Directive 2008/09/EC.

Registration – Confirmation – Payment

Registration is binding and places are reserved once the Reggio Emilia Institute confirms the final registration.

Final paymenton April 3, 2026, or according to the due date on the final invoice.

Reggio Children welcomes visitors from all over the world and must therefore formalize its collaboration with various groups participating in weekly seminars. The agreement between Reggio Children and the Reggio Emilia Institute influences the structure of the seminar, which entails the following regulated conditions:

Cancellation

After consultation with the Reggio Emilia Institute, participants may arrange for another participant to take their place. Name changes can be made free of charge untilJanuary 31, 2026, after which an additional fee will apply.

If the spot is canceled without a replacement being found, no refund will be given regardless of when the cancellation is made.

Refunds of course fees paid will be made as follows:

  • A participant who cancels their place more than two months before the start date of the week-long seminar will be refunded half of the registration fee, provided that the Reggio Emilia Institute is able to find a replacement for the canceled place.
  • A participant who cancels their place after the final payment has been made will receive a refund of 50% of the remaining fee, provided that the Reggio Emilia Institute can find a replacement for the canceled place.
  • A participant who cancels their place due to illness will receive a refund of 70% of the remaining fee upon presentation of a doctor's certificate, provided that the Reggio Emilia Institute can find a replacement for the canceled place.
  • If the weekly seminar has to be canceled due to circumstances beyond the control of the Reggio Emilia Institute, the entire remaining course fee will be refunded, minus any costs incurred by the Reggio Emilia Institute, e.g., through agreements with subcontractors.
  • Please note that separate cancellation rules apply to the travel portion. The above applies only to the course fee.

GDPR – Så använder vi dina personuppgifter

Personuppgifter används av Reggio Emilia Institutet för att vi ska kunna fullgöra våra åtaganden gentemot våra kunder. Därtill kan vi komma att spara uppgiven mailadress för framtida utskick, som t.ex. inför våra egna fortbildningar. Vi sparar inte känsliga personuppgifter utan att få medgivande och överför inte personuppgifter till någon annan part.

I samband med Veckoseminarium i Reggio Emilia, delar vi med oss av nödvändiga personuppgifter till de underleverantörer som behöver ha dessa för att kunna genomföra arrangemanget. Det gäller samarbetande resebyrå, hotell och försäkringsbolag.

Alla deltagare får i sin hand, på Veckoseminariets första dag, en tryckt deltagarlista med samtliga deltagares namn, och arbetsplats, samt ort.

Vi har tydliga regler och rutiner för hur vi sparar personuppgifter i vårt ordersystem – såsom namn, e-postadress, adress, telefonnummer och person-/organisationsnummer – varför vi gör det och hur länge vi ska spara dem. Vi ser till att inte spara dem längre tid än nödvändigt.
